Description

Setting up the export

  1. Insure the “GForms Export Entries” plugin has been installed on the site.
    • If it hasn’t been installed please fill out a Helpdesk Ticket to let Tech know it needs to be installed
  2. Go to Dashboard->Forms->Settings
    • On this page you should see a GravityForms menu item that says “Export Entries”
    • After clicking this item you will be taken to the Export Entries Page
  3. This page is used to both set up your exports and to perform the actual export or schedule it to run.
  4. Setting up your Export
    • The first option on this page is the “Custom Header Row”
      • This needs to be a comma separated list representing the top row of the export’s spreadsheet.
      • For example:
        Google Click ID, Form, Date, Source URL, First Name, Last Name, Email Address, Phone Number
      • The above example will place “Google Click ID” in the first column, “Form” in the second column, “Date” in the third column and so on.
    • After setting up your header row you will notice each Form is listed with a green plus (+) sign and a checkbox.
    • You will need to check the box next to each form you wish to export entries from.
    • If you click on the green plus (+) you will see a list of that form’s fields with a textbox next to each one.
    • The textbox next to each field represents the column you wish to have your data for that form exported into. This should match the column headers.
      • Using the above example of the header row you would enter a 1 next to the “Google Click ID” field, a 2 next to “Form Name” and so on.
    • You need to repeat this process for each form you wish to export
    • At this point you’re now ready to use the next option “Manual Export” to test and review.Performing a manual Export is as easy as selecting a start date and stop date then clicking “Export Entries Now”
      • After clicking the button please wait while the system generates an excel spreadsheet with your data in it.
      • After the file has generated you will be given a link you can click to download and review the spreadsheet.
    • If desired you can setup the export to run on a schedule.
    • Select how often you’d like the export to run, select the first date it should run and the time.
    • You can then enter an email address to send the report to.
    • You may also click on the ‘Edit Email Template’ link to customize the subject line and the body of the email.
    • The last option in the setup allows you to export or import settings.
      • When using this feature you must export / import from another site that has the EXACT same form names with the exact same field names.

 

Exporting Entries

Go to Dashboard->Forms->Settings

On this page you should see a GravityForms menu item that says “Export Entries”

If your export PlugIn has been properly setup then performing a “Manual Export” is as easy as selecting a start date and stop date then clicking “Export Entries Now”

After clicking the button please wait while the system generates an excel spreadsheet with your data in it.

After the file has generated you will be given a link you can click to download and review the spreadsheet.
